Set User Time Zone and Work Availability

Users may set their time zone and scheduling availability separately from the calendar event. This allows the business to create event types like Discovery Calls that may be scheduling during regular business hours and the User may limit their availability to their working hours.

Work Availability is best used in businesses with teams to manage business hours and work schedule availability. The scheduler will check availability in the following manner:

  • Event Availability (Example: Discovery Call available from M-F, 8a - 5p ET)
  • User Availability (Example: Tu-Th 10a - 4p ET)
  • Online Calendar (Example: Vacation, Doctor's Appointment, and other blocked times will show as unavailable)

Note: When a business is a solopreneur using the CRM, the Time Zone should match the business. The Work Availability should be left wide open.


Set User Time Zone

ALL USERS SHOULD SET THEIR TIME ZONE

To set your time zone:

  • Navigate to Settings > My Profile.
  • Scroll to User Availability
  • Select your Time Zone

Now, you can effortlessly view your calendar, appointments and confirmation emails in your default user time zone, providing a more convenient and efficient experience for users across different locations. 


Imagine your business is in New York, USA (Eastern Standard Time - EST). User A is in Paris, France (Central European Time - CET), and User B is in California, USA (Pacific Standard Time - PST). 


With the default user time zone set to CET for User A, they see all appointments in Central European Time, while User B views appointments in PST. This eliminates the need for manual conversion, letting users check appointments directly in their own time zone. 


Set User Work Availability

ONLY USERS IN TEAMS NEED TO CUSTOMIZE THEIR WORK AVAILABILITY

To set your time zone:

  • Navigate to Settings > My Profile.
  • Scroll to User Availability and Available Hours
  • Check the days of the week you wish to be available. They will be highlighted in blue.
  • Customize the times that you are available on those days
    • You may add blocks of time like Tuesday from 10a-12p and 1p-5p or Wednesday from 8a-6p

Q: I want to see appointments in the business time zone. What do I do?

A: To view appointments in the business time zone, set your user time zone to match the business time zone. For example, User A can set their time zone as EST to view appointments in the New York time zone.


Q: How do I ensure accurate availability?

A: If Your User Time Zone is Set to Your Actual Location:

  • Simply input your usual availability, e.g., 9 am to 5 pm.

A: If Your User Time Zone is Set to a Different Location (for Viewing Appointments):

  • Manually adjust your availability to match the selected time zone. For example, if your current location is in the UK (GMT +00:00), but you want to operate in New York (GMT -05:00), ensure to adjust your availability accordingly to align with the New York time zone.
